ProfitDig Summer Updates: Daily Diary, Bid Reconciliation, and Takeoff Enhancements

It has been a busy few weeks for the ProfitDig team since our major V3.5 release in June. We have been rolling out a steady stream of updates focused on giving you tighter control over your field operations, more flexibility in your bidding, and a smoother estimating experience.

Here is a breakdown of the major new features and improvements now available in your account.

The Daily Diary is Live

We are thrilled to announce the initial release of the Daily Diary. Available now on all Awarded projects, this new tab allows your field and office teams to record exactly what happens on site each day.

  • Comprehensive Tracking: Log work performed, safety notes, site visitors, delays, and employee/equipment hours.

  • Automated Weather: Once you lock a diary entry, the system automatically fetches and logs the day’s weather conditions based on your site location (you can also manually override this if needed).

  • Sign-Offs & PDFs: Once a day is finalized and locked, you can generate a Site Record PDF to collect sign-offs from GCs, owners, or superintendents. The signed PDF can then be emailed directly from the app.

  • Dictation: Use your device’s microphone to seamlessly transcribe speech-to-text for faster note-taking.

Note: This feature will expand significantly with the upcoming release of the ProfitDig Mobile App, which will introduce direct photo/video capture and tighter invoice snapping.

Bid Reconciliation and Balancing

We have introduced a massive update to the bid creation process: Reconcile and Balance/Transfer.

You now have the power to make your customer-facing bid perfectly match your desired totals (Quantity × Unit Price = Total) without altering ProfitDig’s internal cost math.

  • Turn Reconcile on for specific line items or headers where you need the PDF proposal to show a specific number.

  • Use the new Balance tools to move small rounding differences between Reconciled lines, complete with an Audit Log of your adjustments.

  • Your internal project budgets remain entirely based on your true, calculated costs.

Project Takeoff Reaches Maturity

Our Project Takeoff tool has received significant polish and is now packed with new capabilities:

  • Multi-Segment Measurement Panel: A new floating panel lists each segment of your takeoff with leader lines pointing directly to the drawing. You can quickly edit assignments, toggle visibility, and zoom directly to specific segments.

  • Canvas Navigation: Panning and navigating your blueprints is now smoother and faster, operating similarly to native PDF viewing software.

  • Stencil Enhancements: Stencils now support color coding and multi-placement, allowing you to drop multiple instances (e.g., Name-001, Name-002) in rapid succession.

  • Coverage Rates: You can now define coverage rates directly in your Materials catalog (e.g., measured unit, purchase quantity, and waste %). These rates are stored and reused across all your takeoffs, preventing export errors when dealing with mixed measurement units.

Upgraded Timesheets and Crew Management

We have completely overhauled how you view and manage your time and crews to reflect the reality of how your teams operate.

  • Multi-Crew Memberships: Employees and equipment are no longer restricted to a single crew. They can be assigned to multiple crews simultaneously.

  • Acting Foremen: Any crew member can now be designated as an “Acting Foreman” for a specific crew, regardless of their standard job classification.

  • Crew-Specific Time Entries: When entering project costs or timesheets, you can tag that specific entry to a particular crew, even if it is for a half-day change.

  • Timesheet Interface: The Timesheets page has a cleaner visual layout, featuring a new month/year date picker, daily summaries (total employee/equipment hours), and robust filtering options.

New User Roles & Permissions

To support growing teams, we have expanded our user management:

  • The Controller Role: A new role that allows the user to see company financials, but restricts access to individual employee wages.

  • Project Manager Updates: PMs now have a toggleable “Wages Visibility” setting. By default, they cannot see wages for privacy reasons, but Administrators can enable this if required for their workflow.

What’s Next?

We are rapidly approaching the finish line for the ProfitDig Field App for mobile devices, which will bring native camera galleries, direct receipt scanning, and on-the-go Daily Diary management straight to your phone. Following that, we will be shifting our focus to our next major roadmap items: QuickBooks integration and Project Scheduling.
